Recording and Transcription Services (RTS) is a vital service required to provide "court records," with approximately 35,000 transcript orders annually. The challenge was to streamline the ordering process, replace a paper-based system prone to errors, and centralise access to all NSW court transcripts and documents via an online portal.
Seers Digital designed and implemented the NSW Online Registry website, specifically the Online Transcript Portal. The platform aimed to replace over 250 entry points across 14 different jurisdictions, providing a single, efficient system for ordering transcripts. The streamlined process eliminated duplicate orders, reduced human errors, and incorporated features like non-fee waivers and supplementary information.
Clients' Benefits and Outcome:
The new Online Transcript Portal brought numerous benefits to lawyers, judges, and citizens alike. By eliminating manual paperwork and scanning, the system saved approximately 1 million dollars annually in productivity costs. The solution enhanced efficiency by providing a centralized portal, reducing errors, and allowing internal staff to focus on higher-value tasks. The implementation successfully integrated with various LOB systems, security measures, and cloud services, leading to a successful rollout across multiple jurisdictions over a 12-month period.
The 'Click and Collect' Service:
With the streamlined Online Transcript Portal, anyone involved in a court case can now easily order transcripts, track request progress, access completed transcripts, make online payments, and receive notifications. The service was trialed by court registry and support staff for 18 months, processing around 20,000 transcript orders. The innovative project modernized services, improved efficiency, and ensured equal access to justice. Non-parties can still request transcripts via email or through court registry counters as needed.
