Overview & Client Needs:

Public security organisations were facing significant challenges due to security breaches caused by the loss and misplacement of paper documents and case files. The excessive use of paper for physical case files not only resulted in wastage but also incurred high logistics costs for moving files to remote locations. Furthermore, the absence of a web application for document retrieval and tendering posed additional limitations.

Our Solution:

To address these challenges, we adopted a collaborative and human-centric design approach. We prioritised rapid prototyping and the development of minimum viable products (MVPs) to enable continuous user feedback and iterative improvements. Our solution encompassed the following key features:

  1. Multi-Experience Platform: We developed a comprehensive platform that facilitated speedy development and deployment of digital solutions. This approach ensured a faster time-to-market for critical functionalities.
  2. Mulesoft Integration: We seamlessly integrated the Document and Case File (DCF) application with the existing case management system, leveraging Mulesoft technology. This integration enabled smooth data exchange and enhanced efficiency.
  3. Web-Based PDF Viewing and Editing: Users gained the ability to view and edit case file documents directly within their web browsers. This feature provided a convenient and intuitive interface for document handling.
  4. Tendering of Exhibit and Media Files: The DCF application allowed users to submit exhibit and media files for review and inclusion in the case exhibit folder, even for large files up to 100GB. This streamlined the tendering process, saving time and effort.

  1. Customisable Search Interface: Users had the flexibility to customize the case file search interface and tailor search result details to their specific needs. This customization enhanced their workflow efficiency and improved user satisfaction.
  2. Entitlements-Based Suppression Rules: The system implemented entitlements-based case file suppression rules, ensuring that sensitive information remained confidential and accessible only to authorized personnel.
  3. Browser-Based PDF Viewer: Users could conveniently view and annotate case file documents using the browser-based PDF viewer. This eliminated the need for additional software installations and allowed for collaborative document review.
  4. Document Sharing: The in-app messaging feature facilitated secure document sharing among users. It streamlined communication and collaboration, enhancing overall productivity.
  5. Personal Storage: Users gained personal storage within the application, enabling them to create folders, manage annotated case files, and have easy access to their stored information.
  6. Court Box Integration: Bar users were able to tender exhibits via the DCF application for review and inclusion in the case exhibit folder before listing. This streamlined the process and improved overall efficiency.
  7. Reduction of Paper Usage: The digital transformation significantly reduced paper consumption by replacing physical case files with digital equivalents. This not only saved costs but also had positive environmental implications.
  8. Instant Access and Mobility: The browser-based application eliminated logistical challenges by enabling access from any court room. Users could retrieve and work with case file information instantly, irrespective of their location.
  9. Enhanced Security: The system ensured secure access and sharing of case file documents, protecting sensitive information from unauthorized access and maintaining data confidentiality.
